A fully-integrated national multifamily investment, development, and property management company is looking for a Litigation Paralegal Associate in their Tampa, FL regional office to assist all members of the in-house legal department; primarily responsible for assisting with all aspects of the dispute and litigation process, from the initiation of a claim or case to the discovery period through settlement, trial and post-trial proceedings and appeals, including reporting on matters and budgeting. Gather facts, documents, and evidence to assist in the defense or initiation of legal action through outside counsel.
Prepare pleadings, releases, settlement agreements, affidavits and other legal documents, correspondence, and exhibits, format and proof.
Assist with discovery requests and responses; conduct document searches; organize documents and coordinate document productions, including bates-stamping, redaction, production logs.
Coordinate witness as needed.
Responsible for initial notice, tracking, and release of litigation hold process.
Responsible for the Service of Process, discovery and subpoena processes.
Perform the processes and tracking mechanisms established for litigation management, litigation holds, accruals, reporting, and service of process intake.
Perform administrative functions such as assist in maintaining a paperless office by scanning and/or filing documents; perform word processing functions, perform filing, e-filing, service and mailing of pleadings, documents, correspondence and courtesy copies, and calendar deadlines.
Coordinate payments and approvals for invoices, track legal matter budgets, track settlement accruals and reserves.
Coordinating with outside counsel and liability insurance carrier to ensure compliance with all insurance guidelines and insurance required reporting to guarantee proper coverage for claims and litigation covered by insurance policy.
Insure team member expenses are reported, tracked, budgeted, submitted, and reimbursed.
Track outside counsels' expenses to ensure fees are on track and budgets are not exceeded.
Obtain, process, and send settlement checks as required, including requesting W-9 forms.
Assist with other projects, programs, and training as requested.
Coordinate with accounting, finance, risk and insurance, human resources, operations, and other departments to insure overall success of law department mission.
Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s).
Practices proper safety techniques in accordance with Company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s).
Identifies areas for improvement and offers suggestions to improve efficiency and productivity.
Keeps abreast of current changes in technology, processes, and standards within the industry and area(s) of responsibility by attending internal and external training classes, research and/or subscribing to the internet or other professional publications, or utilizing other appropriate method(s) to obtain business and professional information, and applies knowledge and practices to area(s) of responsibility.
Incumbents work in an office environment, but also may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous.
Bachelor's degree with minimum 3-5 years of experience as a corporate paralegal, including extensive experience with litigation practice. Preference for in-house experience.
Must manage highly confidential information with professionalism and unquestionable integrity.
Demonstrated ability to read, write, and communicate effectively to prepare and explain compliance reporting to key business leaders and the Company's support and functional groups.
Strong working knowledge of advanced functions of Microsoft Office (including Word, Outlook and Excel) and Adobe Acrobat. Ability to organize documents in paperless storage environment.
Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions, and calculate percentages to complete financial records, budgets, and other fiscal reporting information.
Knowledge of the rules regulating paralegals and legal assistants.
Ability to work independently and in a self-directed fashion. Excellent interpersonal, organizational, planning, verbal and written communication skills. Ability to work collaboratively in a team environment. Organize and prioritize workload, and adapt to changing priorities. Ability to follow written and verbal instructions.
Understands complex legal concepts and terminology.
Ability to perform under tight deadlines and maintain patience in high pressure situations.
